Looking after the people who teach.

Can I hire tutors and keep track of leave, cover and checks?

Hire tutors, then keep track of their leave, cover and Working With Children Checks.

When you need a tutor

  1. Your roles, your questions

Post a role for one centre or all of them, and choose the questions applicants answer.

  2. Open when you are ready

Keep a role as a draft, open it to take applications, and close it once it is filled.

  3. On your own website

Paste a snippet to show your careers list, or a single role, on your own site. Switch it on for each centre.

  4. Every applicant in one list

Filter by stage, role or subject, and see how many applied to each role.

From application to tutor

Read and sort

New applications arrive in one list. Move one or several at a time, with your notes kept on each.

Book the interview

Set the date, have the chat, then approve or reject once it is done.

Send the contract

Email the applicant a link to your own contract. Attach the signed copy when it comes back.

Make them a tutor

Their contact details and the rate they asked for carry across. Pick their centre and courses, and they are invited in.

A tutor rings in sick

Asked for in the tutor app

Tutors ask for leave in their app. When Rosa rings at seven with a sore throat, you record it instead.

Sessions needing cover

Once leave is confirmed, Rosa's sessions are flagged until another tutor takes them. A calendar shows who is away.

Plans change

If Rosa is back sooner and cancels the leave, the sessions are Rosa's again and the manager is told.

Finding cover for a session

Illustration of a tutor handing a cover request to the desk, a stamp coming down on it, the session on the planner taking the cover tutor, and an email reaching each tutor
  1. A tutor asks for cover

They flag the session they cannot take, with a reason.

  2. You pick the substitute

Approve with a tutor who is free, or decline with a reason.

  3. Only that session changes

The rest of the class stays with its usual tutor.

  4. Both tutors are told

The cover tutor and the tutor who is away each get an email, so nobody turns up wondering.

When a tutor flags something

A tutor's phone telling the centre something: a list of reasons with one picked, a short note, and the send button
  • Pick a reason, add a note

Such as a room problem, a student concern or running late, with a few words on what happened.

  • Goes to that centre's managers

    Owners get it as well.

  • Lands on Today as a task

It sits with the day's other tasks until someone deals with it.

Questions about your team

Can someone apply without a role posted?

Yes. A general application form takes applications that are not for one role, and it can sit on your own website.

What goes in a contract?

Your own contract. You send a link to it, and keep the signed copy on the application.

How are Working With Children Checks recorded?

As a Working With Children Check number and expiry date on each tutor's profile. Earlier entries stay in the tutor's history.

Can I change the tutor on one session myself?

Yes. Move the session to another tutor, with a reason. The class's other sessions stay as they are.

What happens to applicants you do not hire?

Their applications are anonymised after a retention period. Applicants who became tutors are kept.

Can we deactivate a tutor who leaves?

Yes. Deactivate their staff account, and they can no longer sign in.
