Flexible billing for the way you charge.

Can I bill a whole term without retyping, and keep my accounts right?

You set fees, discounts, credits and late fees, then bill the whole term.

Each family's term invoice

Each family gets one draft invoice for the term, with every child's classes on it, so Jamie and a sibling share one bill.

What an invoice line holds

  1. Child and class

Each child's class is a line of its own.

  2. Each session once

A session is billed once, so generating again adds only new ones.

  3. Extra sessions

Charge for an extra session on a line of its own.

  4. Your rates

Set a course price or a class rate, or agree a fee for one enrolment.

  5. Hours times the rate

The hours taught, at the hourly rate.

Discounts, credits and fee changes

  1. Sibling discount

Families with two or more children get the sibling discount you set.

  2. Your own discounts

Bundles, early bird, scholarships and coupons, as a percentage or an amount.

  3. Credits

Issue a credit with a reason. It comes off the family's next term invoice.

  4. Term credit

When a term runs short, credit the missed sessions to many families in one step.

  5. Fee-change notice

See whose fees rise next term, biggest rise first. Once you switch fee-change emails on, prepare a notice for the families you choose.

  6. Price rises

Raise a price, and current students keep their rate while new students pay the new one. You see who keeps it before you confirm.

A term's invoices in draft

Look over each family's lines and the term's totals before any invoice is made.

Drafts waitfor your say-so.

Generating the term makes drafts, and a family gets an invoice once your team sends it.

Into Xero

  1. Draft in Atrium

Checked and edited by your team.

  2. Xero

Families are emailed from there when you send, one or many.

  3. Payment status

Comes back to Atrium as invoices are paid.

  4. Differences

Where the two records disagree, your team reviews the list.

Who still owes

A sent invoice still unpaid on its due date turns overdue.
Overdue balances land on your team's list to follow up. Email or ring the guardian straight from it.

Questions about invoicing

Does Atrium work with Xero?

Atrium works with Xero today. Using different accounting software? Tell us which one. We add new connections based on what centres ask for.

Can we edit an invoice before it goes out?

Yes, while it is a draft: the due date, the notes and the lines.

Can we undo an invoice?

Delete a draft before it is exported, and generate it again. Void a sent invoice with no payment on it, and it is voided in Xero too.

When is an invoice due?

Fourteen days after it is generated, unless you change that in billing settings or on the draft.

Does Atrium handle GST?

Yes. Set your GST rate, or none, and whether your prices include it. Each invoice shows the GST.

Do discounts stack?

Each invoice takes the largest single discount it qualifies for, rather than adding them together.

How are payments recorded?

A payment entered in Xero comes back to Atrium. Your team can also record one by hand.

Can fees change from one term to the next?

Yes. Set fees per term and change them for a coming term. You see whose fees rise, biggest rise first, before you confirm.

Can Atrium add late fees?

Yes. Set late fee rules, and your team reviews each late fee before it applies.

Who follows up overdue invoices?

Overdue invoices are flagged for your team, with repeat reminders to follow up until they are paid.
