Keeping families in the loop.

How do we keep families informed without me writing every message?

Write to the families you choose, check it arrived, and share each student's progress.

Writing to a group

Illustration of a letter written from your own template, a loop round the group of families it goes to, a magnifier over the addressed envelopes, and the book of what went out
  1. Your words, their names

Start from one of your templates or a blank page. Each family's and child's names fill themselves in, so Jamie's parents read Jamie's name.

  2. Pick who receives it

Write to a year level, a class, all of Rosa's families, or your own filters. Save a group you write to often.

  3. Now or later

Send straight away, or set a date and time.

  4. See who it reaches first

Preview the families it reaches, and who has no email on file, before you send.

After you press send

Illustration of the book of sent messages, three family houses whose letters are marked delivered, failed and delivered, a dotted path sending the failed letter again, and a clock for a send set for later

Every send on one line

Who sent it, when, and how many arrived.

Each family's result

Delivered, bounced or failed, with the reason an email came back.

Resend the ones that missed

A resend goes only to the families it failed for.

Change your mind

Cancel a send set for later before it goes.

Friday,a note goes home.

Your team writes it and decides when it goes. Emails from automations wait until you switch each one on.

From tutor to family

Illustration of a tutor writing a check-in at a table, a manager stamping the confirmed check-in, the check-in passing through an open door, and a letter on its way to a family's house
  1. Tutors write them

In the check-in weeks you set, each tutor writes one for each student.

  2. Families see it once released

Released check-ins show in the portal. Email each family their report too, if you choose.

  3. You check each one

Read it before the family does. Confirm it, edit it, or send it back to the tutor.

Wins you share yourself

Rosa logs a win, such as a first full essay. You get a ready-written message to send the family yourself, then mark it shared.

What an invited family sees

A family's phone showing the portal: a child's term so far, a released check-in with a win and a thing to work on, the centre's latest update and the week's classes
  • Each child's term

Attendance, homework, this week's classes and released check-ins.

  • Your updates, their replies

Your messages in one place, and a form to answer your questions or reply to a check-in.

  • Their email choices

They pick which emails they get, such as progress updates or marketing.

Questions about families

How does a family get into the portal?

Your team invites them, one family or many at once. Each family needs an email on file and a child enrolled this term.

What can families do in the parent portal?

See their children, invoices, timetable and messages, give feedback, see holiday programs and send online enrolment requests. Each centre turns the portal on.

Can families unsubscribe?

Yes. Marketing emails carry an unsubscribe link, and later marketing sends leave that family out.

What still reaches an unsubscribed family?

Messages you mark as an essential service message rather than marketing.

Where do replies go?

Email replies go to the reply-to address you set. Answers sent through the portal stay in Atrium, under Families.

Can we use our own wording?

Yes. Templates, test sends, and your email logo and colours are set in Customise.
